Create and edit receivers of reports

  • When logged in to the system you can control parts of the content that is shown in the app and case management system
    • It is only the system administrator who can do this
  • The first screen you will see is “Status Quo”. This shows status for the company on essential parts of HSE- and QA reporting.
    • This depends on your user rights in the system. If you have “less” rights you will only see a button for registering a new report or only table overview with all reports
  • On the left side of the screen you will see the main menu – click on “HSEQ Editor”
  • You will now enter the main screen for the editor that shows the overview of all quick reports and checklists that are available. The menu for controlling auto-email and users are also shown
  • Click on “Admin”
  • Choose “Control users”
    • All customers are defined with pre-defined common users / groups that can be applied if individual users are not defined
    • NB: if you are using an “older” version of the system, the User Management and Automail (mail flow system) has not been merged and you need to follow the steps described further down
  • Press “New user” to create a new, individual user account
  • Enter the desired details about the user
    • Note that defined usernames cannot be changed later
    • See details about the different types by clicking the info-button seen on the screen
    • If the user should also be a receiver of reports (report owner) or responsible for some actions, you can define this as well here (please note the comment about “older version” in bold font above though)
  • Save when done
    • Individual users will use the same credentials both in web-system and app.
  • Edit and delete of users is done directly from the main screen for user control. Click on the action buttons to do the desired action
    • Changing passwords on the different accounts can be done from here

Using the Automail set up for adding new “Receiver of Reports” and “Responsible for Action”

  • When logged in you can control parts of the content to be shown in app and case handling system
    • Only the system administrator can do this
  • The first screen you will see is “Status Quo”. This shows the status of the company essential parts of HSE- and QA reporting
    • This depends on your user rights in the system. If you have “Less” rights, you will only see a button for creating a new report or only the table overview of all reports
  • On the left side of your screen you will see the main menu – click on “HSEQ Editor”
  • You will now enter the main screen of the editor which show the overview of all quick reports and check lists available. You can also see the menu for controlling auto-email and users
  • Click on “Admin”
  • Choose “Automail”
  • You now enter the overview screen that shows what recipients are in the system. If there are none, then of course the table will be empty.
  • Click “Add email”
    • If there are already registered receivers, these can be edited by clicking on “Edit”
    • They can also be set as inactive. They will no longer be possible to choose as recipients or responsible for handling, but they will appear in the table overview when searching
    • Deleting email recipients can also be done. Please note that this will remove them totally from the system.
  • Enter the email where notification will be sent when creating new cases or delegation of responsibility
    • You can enter several email addresses (I.e. create a group) by separating these with a semicolon ( ; )
  • Type in the name of the recipient
    • You may call the recipient a group, for example “Safety” of “Quality”
  • Tick off what category the listing is part of
    • Receiver of report = the person receiving the first notification (report owner)
    • Responsible = responsible for action / execution of actions as “report owner” defines in the reports should be done
  • In the field of “Sort” you can decide where the email will be shown related to other reports created
  • Save or cancel
  • The overview list is updated and the email recipient created is visible next time a user will create a report
